Cookies and measurement
Some cookies are necessary for the site to work at all, including the one that remembers the choice you make in the cookie bar. These are always active, because without them the site cannot be served to you.
Everything else is optional. That covers any tool we use to count visits and see which pages are read, and any content we embed from another site, such as a video or a map. Nothing in this group runs before you agree to it. On your first visit you are asked, and if you decline, none of it is loaded. You can change your answer at any time through the cookie link at the bottom of every page, and we ask again after a year.
Where a measurement tool is active, it tells us how many people came and what they read. It does not tell us who you are, and we do not sell what we learn from it. If we ever add advertising or profiling tools, they will fall in the same optional group and will need your agreement in the same way.
Separately from cookies, our host records the IP address, browser and time of each request, as any web server does. We use this for security and troubleshooting, never to build a profile of you.
When you register your interest
We collect the name, company and email address you enter, the way you would like to take part, and the date of the submission. We use it to write to you about meetings of the circle, to talk about a seat, and to keep a record of who has asked.
The legal basis is your consent, given by sending the form after reading this notice (Article 6(1)(a) GDPR), together with the steps you ask us to take before joining (Article 6(1)(b)). You can withdraw consent at any time, by writing to us or through the unsubscribe link in any of our emails, which does not affect anything we did beforehand. If you do not give these details, we cannot get back to you.
If you join the circle
We keep your contact details, your organisation and role, and the practical notes we need in order to run sessions and to invoice you. The legal basis is our agreement with you (Article 6(1)(b)) and, for invoices, our obligation under Finnish accounting law (Article 6(1)(c)).
Closed sessions run under the Chatham House Rule and we do not record them. The short brief written after each session is worded so that speakers cannot be identified.
If a passage quotes you, or if you could be recognised from the detail, we send it to you first and you can ask us to change or remove it.
At our meetings
Three things may happen around a meeting, and each of them is optional for you. We may take photographs during a session and use them to show what the circle is. We may publish the main takeaways of a session, written so that nobody can be identified from them. And we may use what is said, in anonymised form, in the research we run alongside the club.
We ask you about each of these when you register for a meeting, and the legal basis is your consent (Article 6(1)(a) GDPR). Saying no to any of them does not affect your place in the room. You can change your mind later by writing to us, and we will stop using the material from that point, including taking a photograph down.
Who else sees your data
A small number of service providers handle data on our instructions: our website host, our email and office software, our accountant, MailerLite, which stores our mailing list and sends our emails, and Luma, which we use for registration to individual meetings. They cannot use your data for their own purposes.
We do not sell data and we do not use it for advertising. If you want to know which providers are involved at any given moment, write to us and we will tell you.
Data outside the EEA
Most of our providers operate inside the EU. Where one processes data outside the European Economic Area, the transfer is covered by an adequacy decision of the European Commission or by the Commission’s Standard Contractual Clauses. You can ask us for a copy of the safeguards that apply.
How long we keep things
Your rights
You can ask us to show you the data we hold about you, correct it, delete it, limit what we do with it, or send it to you in a portable file. You can object to processing based on our legitimate interest, and you can withdraw consent at any time.

If you think we have handled your data badly, you can complain to the Finnish Data Protection Ombudsman, Tietosuojavaltuutetun toimisto, or to the supervisory authority in the country where you live.
Changes
If we change how we handle data, we will update this page and change the date at the top.
